Initial situation and project goals
The junction of the four tradition companies Bewag, HEW, LAUBAG and VEAG also required the combination of the different business processes in the insurance section. Each of those four companies had its independent insurance department, which defined on the one hand its business processes varied and on the other hand displayed in different applications.
So the goal was, to find a solution which guaranties groundwork for the junction of the business processes with its flexibility and contained modules. With insTRA.NET, Vattenfall chose a system which complies with the requirements brilliantly. Vattenfall has found the right moderators with the insurance experts at Amadeus IT GmbH, who can optimally further the given goal of the consistently business processes via all locations as a external employee.
Course of the project
The first step was to establish the requirements within workshops of several days' duration including selected employees of all headquarters of the insurance section Vattenfall Europe AG and document it as specifications. Another result of these workshops is the determination of required customizing to insTRA.NET. Because of the acute collaboration by the project teams of Vattenfall Europe AG, standard process flows and the needed customizing of insTRA.NET were precisely defined, which took part in the success of the project. The duration of the project phase least 8 months. The single modules were delivered on schedule as cornerstones, prompt tested and accepted by the employees of Vattenfall Europe AG.
Thereby the running operations of the three locations can be picked up with all of functionalities on 01.07.2007.
The modules businesspartner -, policy -, claim - and fleet management plus statistics and analysis are parts of the use section by insTRA.NET at Vattenfall.
Policy Management
Individual conditions could be solved by standard functions because of the highly flexible design options including classes, types of insurance and templates. Within the templates, the fields can be customized individually. So it is possible to create a separate template for any class / type of insurance and match them with essential files.
Claim Management
The claim management contains functions for the administration of own- and external damage. External damage is defined as damage of which Vattenfall Europe AG is the injured party. The correspondence will be held directly over insTRA.Net. There is also the possibility to create various analyses. This contains, that all damages were carried on one central system. All objects included in the damage e.g. participant, witness or damaged vehicle can be attached to it and can be clearly displayed on one site. Every move within the damage will be covered chronologically. According to that, it provides high transparency. In addition, all data in evaluations given, e.g. a comparison of actual claims to compensation.
Fleet Management
With insTRA.NET the entire vehicle fleet of Vattenfall Europe AG is been managed. Thus the stock of approximately 3,500 vehicles was imported mechanical. Any change in the fleet, such as inclusion or exclusion of a vehicle, change of coverage or assignment to another cost center is in insTRA.NET logged. The quarterly reports of the fleet with all the changes are automatically generated and can be sent to the insurer concerned.
Electronic File
The Electronic File maintains all documents. New documents can be generated via customized templates. Data which is already disposed in insTRA.NET will be assigned to the dokument. Furthermore, external incoming documents can be embedded.
Through a flexible adjustable storage structure, documents can be systematically filed. In addition, users can create new folders, and thus expand the structure individually.
Any information available in insTRA.NET can be transferred into a statistic or analysis. The evaluations were required under the specifications by Vattenfall Europe AG. The dialogues for the production of evaluations also allow individual settings and constraints. Thus, a fixed analysis can be generated in different forms. Then you can transfer the data to Excel, and then further processed.
