Dyckerhoff AG was founded in 1864 and is today among the leading international manufacturers of cement and concrete for the building industry. The employees of the headquarter's department for insurance management in Wiesbaden account for the risk coverage and damage adjustment of national and abroad subsidiaries.
Point of departure and project aims
At the time of the project start, Dyckerhoff AG was operating by means of self made spreadsheets and templates without any connection to the leading IT system. After having presented the functional range of insTRA, Amadeus IT and Dyckerhoff AG identified the custom requirements in a one-day workshop and came to the conclusion, that there was only a small need for changes. The main project aims were defined as follows:
- The administration of insurance policies and the intracompany further charging of premiums.
- As insTRA being an SAP Add-on and thus part of the ERP solution, a connection to the financial sphere is already available and existing standards can be accessed.
- The replacement of a self-developed solution for the collection of vehicles and lease contracts. This is confirmed by the car trunk of insTRA.
- The connection of the IXOS document management system, which is affiliated to the ArchiveLink interface of SAP.

Project Procedure

In the first step of the project phase, the mapping of the insurance policies in insTRA was prepared in detail. The individual requirements for mapping the premium relevant details have been defined in collaboration with the department and copied to the system.

The development of the detailed concept led to the finding, that insTRA's functionality should be extended. For the recording of payments, the Dyckerhoff AG applies a barcode scanning application. This means that while entering an invoice in the accounting department of SAP, the record is captured and the paper document is pasted up with a barcode label, which is read by a hand-held scanner and assigned to the record. During the subsequent scanning of the document SAP is now able to link the accounting record to the scanned document.

Using insTRA, this flow had to be adjusted. Because the accounting is done in the background, no more barcode can be read by a hand-held scanner. The solution is to primarily provide the invoice with a barcode and scan it. insTRA is now able to access the pool of scanned documents and assign them to a specific insTRA process, like the payment of a repair bill. If now the accounting of the payment is triggered in the damage application, also the barcode is being transferred. This way, accounting voucher is again linked with the document.

This expansion eliminates the need for the same information to be recorded twice. On the one hand, the information is required in the claims management, because it leads to the entire damage amount. On the other hand, the payment has to be brought about by the accountancy. Using insTRA eliminates the effort of passing paper-bound invoices and advices of entry by internal mail and collect data in a multiple way.

Fleet management with insTRA

Through the use of the car fleet of insTRA, several areas access the same information. Newly added leasing vehicles are being captured directly in the fleet inventory by the purchasing department. The vehicles can be assigned to an insurance policy by employees of the financial sector. Thus enables the internal settlement of the premium allows easy generating of stock lists for insurers. At the same time, employees of the accounting department can access the same data they need to update the leasing rate.

The communication about new businesses has been simplified, since in his overview each can directly see which vehicles are newly added. As the processing status is always available, the individual staff member can identify immediately what information has to be supplemented. Thus also in this area the need for leaving the SAP environment and pass data on external ways, like e-mail or internal mail is omitted. The information is collected at the same time it arises and is immediately available for all. Thus, three areas now work directly with each other in one solution.

Other benefits include additional analysis and views that have been added and that each of the individual users and can adapt to his needs.
Success through partnership

In the course of the project, a partnership arose that built the basis for the successful processing of the project and a long-standing customer relationship. Despite extensive daily business, the employees of the operating department and the IT division made a substantial contribution to the successful introduction of insTRA. Many project details were worked out together. Thus insTRA was extended with new functionalities and for the Dyckerhoff AG, the aspired simplification of the processes could be achieved.
