Coop has been the first international customer of Amadeus IT GmbH. With the software package insTRA Coop will arrange its insurance processes optimally.
Approximately 2.3 million housholds make the trading venture Coop to one of the largest enterprises of Switzerland. With approximately 14.9 billion Swiss francs gross income Coop is the second largest retail business enterprise in Switzerland. Coop offers the largest brand variety in Swiss retail trade and is clearly the market guide for environmentally friendly, animal-friendly and socially compatible products. On a surface of approximately 1.5 million square meters over 1.600 sales offices present its articles.
With approximately 45,000 coworkers from over 100 countries Coop is even the second largest private employer of Switzerland. With gross investments of approximately one billion Swiss francs Coop is a major player of Swiss economy.
99 per cent of the Swiss population need only up to 10 minutes to the next Coop store. The Coop supermarkets as well as the Coop Pronto convenience shops are present almost everywhere. Moreover, you can find department stores, Coop Bau+Hobby, Coop Vitality pharmacies and Coop restaurants or the gas stations of Coop mineral oil all over the country. All sales offices offer its articles and services in attractive, modern sales rooms. Coop is organized in five decentralized sales, logistics and real estate regions. And Coop is much more than that. Coop also represents specialist shops, production enterprises and logistics around the clock. Among them are enterprises such as Interdiscount, TopTip, import Parfumerie, Christian, ITS Coop Travel, transGourmet, Bell, Fust, Chocolats Halba and many more.
The co-operation with Coop - with the organizational unit insurance (OEV) - began with first workshops in 2008 at the headquarters of Coop in Basel. There the requirements on insTRA were defined.
The project "Mozart"
The implementation of insTRA started with the kick-off on 14 April 2008. Coop provided a project room for the team "Mozart" in Basel. For Amadeus IT the project’s challenge was to illustrate the requirements of the OEV with all the Swiss characteristics for insurance transaction in insTRA.
One of these characteristics is the special number for motor vehicles in Switzerland. This 9-digit number identifies every car clearly. The input of this number in the insTRA object administration and their evaluableness is again implemented in insTRA.
In Switzerland also French and Italian are official office languages beside German. insTRA provides these languages. With the help of Coop insurance-technical terms are translated and implemented into insTRA.
Coop possesses a stop-loss agreement with the insurer for the liability insurance, for insurances against material damage, for the transport insurance and for the building industry insurance. The stop-loss represents the yearly self retention covered by Coop. As soon as the stop-loss is completely filled, Coop reclaims the accumulating delta amounts of the insurance company.
In insTRA the stop-loss amount for each policy and financial year is seized. This amount represents risk costs of the OEV to cover possible damage. Parallel to the premiums a self retention for a damage is seized. It must be defined whether it is stop-loss relevant. The self retention for a damage is beared by the damage causer on the respective cost center. After the exhaustion of the self retention for a damage the stop-loss is taken up. This means that Coop bears the amount of damage as far as the amount of the stop-loss amount. The damage amounts going beyond the stop-loss amount are then demanded by the insurer.
When the user accounts a damage position, which is stop-loss relevant, he will get a pop up window over the proportional exhaustion or excess of the stop-loss amount. This message must be confirmed by the user.
The process of the project "Mozart"
The project team of AIT was based in Basel most of the time. There they worked on „the base“, processes were analyzed, requirements of the OEV seized and the project coordinated. A constant information exchange took place, which represented the basis for a very good co-operation with the OEV.
The project team of Coop consists of coworkers from accounting, the OEV (insurance), the IT administration and the project manager.
After phase 1 "project preparation", phase 2 "business blueprint" started in numerous workshops and discussions in close co-operation with the experts of the OEV. In this phase the master data, object administration, buildings, policy management, damage management and the electronic document were co-ordinated. In phase 3 "realization" the requirements to insTRA defined in the previous phases were customized. Further the individual needs of the OEV insurance were programmed by Amadeus IT. In phase 4 "final preparation" the customizing system was transported on the test system and tested in detail. These tests took place in close co-operation with the internal revision and the general ledger accounting of Coop. In this phase also the new users of insTRA were comprehensively trained by the advisors of the AIT. In the last and fifth phase "going live & support" the data transfer was accomplished. The tested and approved customizing and individual programs were transported in the productive system.
The very good co-operation and partnership of all team members of Coop and AIT lead to the fact that the project "Mozart" could successfully be finished in time.
